Privacy Policy
Effective date: October 9, 2026
1. Scope and controller
This policy explains how VolumePilot handles personal data in the Windows app, public website, licensing service, support, and payment flow. Sales Studio is the trading name currently used for the product. Privacy requests can be submitted through the Sales Studio contact form.
2. Desktop audio processing
VolumePilot processes microphone and system audio level information locally on your Windows device to provide its audio-control features. It does not send your audio recordings or audio content to Sales Studio servers.
3. Licensing and support data
When you activate or validate VolumePilot Pro, our licensing service may process:
- your license key or a protected representation of it;
- a generated or hashed device identifier and the device name supplied by the app;
- activation, validation, deactivation, and entitlement timestamps;
- Paddle customer, transaction, subscription, product, and price identifiers;
- the purchaser email address provided through Paddle webhooks where needed to deliver and support the license.
If you contact support, we also process the information you choose to send, such as your email address, diagnostic details, and correspondence. We use this information to deliver Pro access, enforce device limits, restore purchases, prevent fraud, provide support, and maintain transaction records.
4. Website, cookies, and local storage
The public website does not require a VolumePilot account. Our hosting and security provider, Cloudflare, may process standard request information such as IP address, browser type, requested URL, time, and security signals to deliver and protect the site. We do not use the desktop app to track your browsing or sell personal data.
We do not use advertising or analytics cookies. Cloudflare may set strictly necessary security cookies. Paddle is loaded only after you choose a paid plan and may then use cookies or similar technologies needed to provide and protect checkout. After a completed checkout, the website stores the generated VolumePilot activation key in your browser's local storage so it remains visible if you reload the page. You can remove it by choosing “Buy another license” or clearing site data. Details are in our Cookie Policy.
5. Payments
Paddle is our merchant of record and independently processes checkout, payment method, billing, tax, fraud-prevention, and compliance data. Sales Studio does not receive your full card details. See Paddle’s Privacy Notice for its practices.
6. Purposes and legal bases
- Contract: issue, activate, validate, restore, and support a license you requested.
- Legitimate interests: secure the service, prevent fraud and abuse, diagnose faults, and keep evidence of entitlement. We balance these interests against your rights.
- Legal obligations: keep records and respond to lawful requests.
- Consent: where we introduce an optional use that legally requires consent. The current site does not use optional analytics or advertising cookies.
7. Sharing and sources
We share data only with service providers needed to operate VolumePilot, including Paddle for commerce and Cloudflare for hosting, storage, security, and server functions; with professional advisers where necessary; or with authorities when legally required. We do not sell personal data.
We receive licensing and transaction identifiers, purchaser email, and entitlement status from Paddle after a purchase or billing event. Other data is obtained from you, the app, your browser, or our infrastructure providers as described above.
8. Retention and security
We keep licensing and entitlement records while a license or subscription is active and afterward only as long as reasonably needed for restoration, support, fraud prevention, accounting, disputes, and legal obligations. Support correspondence is kept while the request is open and afterward as needed to document its resolution. Infrastructure logs are retained for the limited periods configured or applied by our providers. When data is no longer required, it is deleted or anonymized. We use access controls, encryption in transit, and protected secret storage, but no system can guarantee absolute security.
9. International processing
Paddle and Cloudflare may process data in countries other than yours. Where required, transfers rely on adequacy decisions, standard contractual clauses, or other recognized safeguards. See their linked privacy notices for current transfer details.
10. Your choices and rights
Depending on your location, you may request access, correction, deletion, restriction, or portability of your data, or object to processing based on legitimate interests. Where processing is based on consent, you may withdraw it without affecting earlier lawful processing. You may also complain to the data-protection authority in the country where you live or work. Some records may be retained where law or the establishment, exercise, or defence of legal claims requires it. You can deactivate a device inside the product where that function is available.
11. Children
VolumePilot is not directed to children, and we do not knowingly collect personal data from children through the website or licensing service.
12. Contact and changes
For a privacy request, contact Sales Studio support and identify the request as concerning VolumePilot privacy. We may ask for information needed to verify your identity and locate the relevant records. We may update this policy; the effective date above identifies the current version.
